This page outlines the key video and photo deliverables expected from HTW's videography partners each year, including format specifications, revision policies, and delivery requirements.
Notes:
- Delivery Folders / Scripts to be placed and linked in the HTW Content Folder (Coming soon — link to be added).
- Video drafts to be delivered in Frame.io or equivalent.
- Up to 3x revisions for each produced video.
(1) HTW YYYY Promo Reel(s) [OPTIONAL]
The purpose of this promo reel is to be used in the promotion of HTW across social media to build excitement around HTW and drive sign-ups and buzz around the week.
- Goals:
- Generate virality and excitement going into HTW YYYY.
- Show off initial sponsors.
- Encourage sign-ups, ticket purchases, partnerships, and sponsorships.
- Content:
- Bumpers & Thumbnails
- Footage, photos & B-Roll from past HTW events.
- CTA at the end.
- Distribution: Socials, email.
- Duration: <59 seconds
- Format: Vertical & Horizontal cuts
- Delivery Date: July 15th, 2025
- Other Notes:
- Suggest a thumbnail or photo for the video.
- Provide a version with no audio and no overlay text (captions).
- Captions and exports of transcript for the video.
- Captions must be vibrant & attention grabbing
- Transcripts must include identified speakers.
(2) HTW YYYY Preview Sizzle Video(s) [OPTIONAL]
The purpose of this promo reel is to be used in the promotion of HTW across social media to build excitement around HTW and drive sign-ups and buzz around the week.
- Goal:
- Generate buzz and excitement going into HTW.
- Drive virality.
- Key Soundbites and Interviews (including reused content)
- Encourage sign-ups, ticket purchases, partnership, and sponsorships.
- Content:
- Bumpers & Thumbnails
- Footage & B-Roll from past HTW events.
- Footage of incoming 2026 sponsors and KOLs sharing excitement.
- Michael or others talking about the focus for the year / HTW story.
- CTA at the end.
- Distribution: Socials, email.
- Duration: <59 seconds (potentially 90-180)
- Format: Vertical & Horizontal
- Delivery Date: September 17th, 2025

(3) HTW Hosted Events → Estimated 5-10 Events, TBD on multiple locations
The purpose of this promo reel is to be used in the promotion of HTW across social media to build excitement around HTW and drive sign-ups and buzz around the week.

(4) HTW Daily Recap - Photos & Reel
- Goal:
- Drive end of day virality and large scale engagement on social media.
- Content:
- Photos (and reels) compiled into a reel at the end of each day.
- Distribution: Socials.
- Duration: <59 seconds
- Format: Various.
- Delivery Date: Daily by 7 PM.
- Other Notes:
- Provide a version with no audio and no overlay text.
- Caption and transcript for the video.
(5) HTW YYYY General Sizzle Recap Reel(s)
About: Focus of this initial recap video is to further continue the hype of Hawaii Tech Week. The focus is on the energy of the event, highlighting the biggest names participating in the event, and showcasing the sponsors via placement in video and via logos.
- Goals:
- Content to feed into social media.
- Content:
- Speakers, mixer, panel, lifestyle, party, drone, Lifestyle, Key Speakers, Overview / Montage
- Mahalo to our sponsors
- Distribution: Socials, email, website header.
- Duration: +/- 59 seconds
- Format: Vertical & Horizontal
- Delivery Date: September 17th, 2025

- Caption and transcript for the video.
(6) HTW YYYY General Sizzle/Recap Video
About: The focus of this longer recap video is to tell a deeper story behind HTW, showcase the top speakers and guests, and provide cuts of audio from key sponsors. Each major sponsor should have at least one 3-5x second minimum line in the video.
- Goals:
- Recap HTW to send out to attendees and drive virality.
- Drive sponsors, partners, and people to sign-up.
- Content:
- Bumpers & Thumbnails including sponsor logos.
- Speakers, mixer, panel, lifestyle, party, drone.
- Includes sponsor footage when possible as they love seeing themselves
- CTA at the end to sign up for HTW 2026 updates.
- Distribution: Socials, email, website header.
- Duration: 59 seconds
- Format: Vertical & Horizontal
- Delivery Date: September 25th, 2025
- Other Notes: Provide a version with no audio and no overlay text.
(7) Final File Delivery on SSDs (2x copies)
- Goal:
- Ensure transfer of all files including finals shared via Google Drive to be shared on SSD.
- Ensure all RAW and source files are delivered to HTW as well.
- Content:
- Every file, including B-Roll, raw video, project files, and final deliverables.
- Format: SSD (see Production Process & Workflow for formatting requirements)
- Delivery Date: October 15th, 2025
- Delivery Folder: N/A
- Other Notes:
Additional Reels → TBD on amount
- Instagram, Youtube, LinkedIn, Twitter
- Reels pulled from a mix of events, lifestyle, and other clips throughout the week.
