Ambassador Guide

Each year HTW builds a team of ~10 Ambassadors for Tech Week — spanning a range of experience from engineering to investment, marketing to community. We want the Ambassador program to be as exciting, streamlined, and high-impact as possible.


About the Ambassador Program

At the core of being an Ambassador is helping to promote HTW and make it incredible for the ecosystem and participants. This includes helping grow HTW's reach and marketing impact, putting on events and empowering event hosts, and facilitating connections to speakers, partners, and sponsors. Ambassadors include HTW sponsors, tech professionals, influencers, and champions of Hawaii's tech community.

You have a massive impact on our community and help alongside an incredible group of people to build a better future for Hawaii and our ecosystem.

  • Recognition and placement on the HTW website and annual report
  • New connections and relationships across the ecosystem

Expectations

We estimate under 5 hours per month of commitment, although some Ambassadors go above and contribute more. The most impactful things are spreading the word, inviting high-quality people to attend and host events, and pulling in members of the ecosystem as event hosts, sponsors, or partners.

Before HTW

  • Share HTW with your networks — word-of-mouth, social media, and your broader channels are the most powerful tools we have.
  • Surface and source strong event hosts, sponsors, and speakers. Recruiting great people and organizations into HTW is critical.
  • Consider hosting or co-hosting an event — while not required, we encourage all Ambassadors to get involved in some capacity.

During HTW

  • Show up, connect people, and represent the community — your presence and energy matters.
  • Help capture and share real-time content — photos, posts, and stories from across the week.
  • Hosting an event? This is your moment — make it great and invite your network.

After HTW

  • Share your recap content and highlights from the week across your channels.
  • Help amplify HTW's post-week content to extend the momentum.
  • Debrief with the team on what worked and what to improve — share wins and learnings from your perspective.

Ambassadors should come with ideas AND execution, but focus on what gives you energy. In addition to hosting events, you can spin up special initiatives you'd like to bring to life.

Selection Process

Ambassador selection happens annually in Q4–Q1. We look for people who are:

  • Active and respected in Hawaii's tech ecosystem (or deeply connected to it from elsewhere)
  • Willing to put in effort and action — not just lend their name
  • Excited about building something meaningful for Hawaii

Onboarding

Once selected as an HTW Ambassador:

  • Intro call with HTW team — get aligned on the year's goals and your focus areas
  • Submit your bio and headshot for HTW marketing materials and website listing
  • Join the Ambassador group chat and communication channel
  • Access provided to Ambassador meeting docs and relevant resources
  • Joint social media announcement to share your Ambassador status
  • Join the upcoming Ambassador Syncs and add to your calendar

How We Work Together

We hold a weekly sync on Thursdays at 5:00–5:45 PM Hawaii Time. Ambassadors typically attend 1–2 per month, though some attend more.

This virtual sync serves as a stand-up covering key updates and goal reviews, with the majority of time focused on discussion around initiatives and events. We ask that you attend at least one per month. We will also explore staggered timing bi-weekly to accommodate different schedules. An agenda is provided before every sync, with notes and a recording shared afterward.
